GMS Summit 2016
31st Annual GMS Financial Management Conference June 12 - 17, 2016 - St. Pete Beach, Florida Don’t forget to mark your calendars and plan to attend the 31st Annual GMS Financial Management Conference to be held in St. Pete Beach, Florida, June 12-17, 2016. As in previous years, the conference will be divided into two segments with the regular conference June 13-15 followed by intensives June 16-17. Sunday, the 12th will offer registration during the day followed by our Welcome Reception “Beachside in the Summer – Come Dressed in White” on Sunday evening, featuring live music by Colt Clark.
Our 2016 Summit is being held at the Loews Don CeSar Hotel, commonly known as The Pink Palace. This resort features many things for the family to do and is located on a white sandy beach on the Gulf Coast of Florida. Whether gathering seashells, relaxing on the beach or at one of the pools, working out, or shopping is your cup of tea, there is something for everyone to do. Free rides (tips are suggested) are available to all areas of St Pete Beach, Treasure Island, Johns Pass, Madeira Beach, and South Redington Beach so you can feel free to explore the area also. Also, watch future issues of News from GMS for a brief description of each session. Who Attends the GMS Conference? If previous years are an indication, we can expect close to 300 participants from GMS client organizations located throughout the country. Attendees include fiscal staff, auditors, revolving loan management staff, Executive Directors, human resource staff and program managers. Many GMS clients view this as annual in-service training for their fiscal personnel. In addition to the scheduled sessions, the conference offers a great opportunity to discuss issues and solutions with other GMS clients who might be experiencing the same situations as your agency. From strictly a GMS viewpoint, we wish all GMS clients could attend, since the conference is our best way to provide you with the most up to date information on using GMS software, audit standards, human re-source issues and other information important to all GMS clients. Every member of the GMS staff will be at the conference providing a tremendous opportunity for face-to-face consultation and assistance. Session Highlights In addition to sessions led by GMS staff featuring training on the GMS Accounting and Financial Management and the Revolving Loan Servicing System, we will offer new sessions on “Understanding the Basics of Human Resource Law and Practice” and “Current Trends in Human Resource Law and Practice” both taught by Attorneys Bob Joyce and Drake Maynard. Jason Brooks, CPA returns to present “Design and Implementation of Internal Controls along with new sessions on “An Introduction to Indirect Costs” plus for our revolving loan clients he will present “GMS-RLSS – An Auditors Perspective”. Additionally, we will be showcasing our new GMS accounting software. Training will take place during the regular session and also in the intensives to be held immediately after the regular conference. This is the final year we will be holding intensive sessions so don’t miss your opportunity to attend one of these excellent classes. As in the past, the computer clinic provides an excellent opportunity for hands-on training and working with all aspects of the GMS software. Computer Clinic Be sure to visit the computer clinic where you can take the time you need to explore GMS products and see how they can improve your agency’s operations. It is a great opportunity for you to try any GMS program or supplement. Members of the GMS staff will be on hand to answer questions and provide assistance. For guaranteed individualized assistance, or for matters that need special attention, please schedule a One-on-One appointment. One-on-One Appointments Get the most value for your conference attendance and schedule a one-on-one appointment with one of our Service & Support Specialists. This is a great opportunity to sit down face to face with a GMS Specialist to go over specific accounting issues related to cost allocation, month end, payroll, and accounts payable or any questions you may have regarding your revolving loan software. These are the most affordable individualized appointments that GMS has to offer. Appointments are only being offered on a limited basis so please schedule as soon as you can. The latest accounting revisions were posted to our website www.gmsactg.com on January 15, 2016. You should have received an email from GMS on January 15th that included instructions for downloading and installing these revisions. It is VERY important that all revisions be installed in a timely manner. It is also important that all staff using the GMS Accounting System read through the List of Changes included under Help within your software (and also available in your Help Manual) to familiarize themselves with the new features or changed items.

To confirm this software revision has been installed, click on Help, About. The version number should be 1.2.304. Updating Multiple Databases - Part of your Year End procedures may include making a copy of the previous year’s database, placing it in a separate folder and point the ODBC setup using convert1 or convert2, etc. This is particularly useful to allow you to go back to a previous fiscal year and generate a report without having to go through the reverse roll forward process. If this is a practice your organization follows, it is imperative that as you receive GMS software updates from our office, you follow the update procedure and update all accounting databases you access through the GMS software. This is necessary to help assure you will be generating accurate re-ports from all fiscal years. This rule also applies if you have purchased additional data-bases from GMS for multiple companies.

RLSS Software Revision Released
On January 6, 2016, we released a software revision for the GMS-RLSS software. You should have received an email with instructions to download and install this revision, making your version of software 1.0.0.12. Following are some of the changes included with this revision.
