Martin Luther King Jr. Day

December 2017 Accounting Revisions Released
The latest accounting revisions were released on December 18, 2017. You should have received an email from GMS on December 18th that included instructions for downloading and installing these revisions. It is VERY important that all revisions be installed in a timely manner. It is also important that all staff using the GMS Accounting System read through the List of Changes included under Help within your software (and also available in your Help Manual) to familiarize themselves with the new features or changed items. Some of the more significant changes are listed below.

Payroll
1. Retirement Report
a. A new file format has been created for MA State Board of Retirement.
b. A new file format has been created for AL State Retirement.
2. Quarterly Processing
A new format has been created for Ohio Quarterly Unemployment.
3. W-2s
a. RO Record for W2 e-File has been changed. It will not report HAS in position 34-44.
b. Added box 12 FF for small employer health reimbursement amount. If an employee is qualified, then edit the W2 and enter the amount manually. In the e-File, the position for 12FF is RW 474-484, RT 400-414. The software vendor code is 1690.
Accounts Payable
Vouchers
If you paid a voucher, then voided both the check and the voucher, and then edit the original voucher, the line # associated with the voucher in tblLineItem changed causing the line # in tblAppmts to no longer match. This caused the voucher to not show on the Payment History report. This has been corrected.

In the SQL Server version, the Balance Sheet for a prior month was off by the leave accrued amount.

The revenue code added to a new customer is now being saved.

- This revision includes changes to W-2 Processing. It is important that you make sure you install this revision before performing the Edit/Prepare W-2s.

We are still awaiting final payroll tax revision changes. Once we receive these, we will send a new software revision to you. We do not anticipate these having a major effect on your payrolls, so please continue to process them as normal. Watch your email for notification that these payroll tax changes are ready to be downloaded and installed.

Accounting .net Revisions
On December 29, 2017 a software revision was emailed to those accounting clients that have upgraded to the .net version of software. After installing this revision, you should now be using version 2.3.2.65. This revision included the changes to the 2017 format for the preparation of Federal Form 941. It is very important that this revision be installed before preparing this form.

RLSS Revision
Thanks to suggestions from Donna Muir, Nancy Kulick, Jane Alsip, Heidi Buchmann, Marie Leisenring, Kimberly Lorensberg, Carol Roberts, Linda Oatney, Taylor Dobson, and Ann Thompson we have made several improvements to the RLSS software. Loan Master Files
- Added fields for Property Address and Property Description to be entered if different than mailing address. Anything entered in these fields will automatically populate boxes 8 and 9 on the RLSS 1098 form. These fields are limited to 39 characters per IRS regulations.
- If prior loan appearing on the screen had Conversations, Red Flag and Activity Alert, when clicking on New, they were not clearing from the screen but they clear when clicking on Save.
- Multiple Borrowers information from a previously displayed loan was not always clearing from the screen when selecting a different loan.
- Corrected Syntax error received when trying to save a new loan with punctuation in the County name, such as St. Mary’s.
Loan Activity
- Added ability to change Loan Status & Status Date from the Loan Activity screen.
- Corrected (E)scrow Payout activity type to automatically advance Next Pay Due Date one payment cycle past Paid Thru Date.
- Last Activity Date in lower left corner was not reflecting the correct date if selecting it from the Loan Activity List View.
- Added “daily” or “amortized”, based upon loan interest assignment, to the lower left corner of Loan Activity screen. This will assist to determine when multiple payments are received if they should be entered as one activity or multiple activities.

- Added option to sort by payment due date.
- Added option to not include Borrower’s name for confidentiality.
Payment Status Report
Added Closing Date to the report.
Supplements
#804 RLSS 1098s
- Added ability to edit 1098 information.
- Added ability to add additional loans that may have been excluded due to criteria selected when preparing the file.
- If Property Address and/or Property Description is entered in Loan Master, box 7 will automatically be unchecked and the address and/or description will populate boxes 8 and 9.

New RLSS Supplement - Loan Servicing Worksheets
Carol Roberts from Upper Arkansas Area COG in Canon City, CO, contacted us regarding the amount of time it takes for her to create the backup documentation required for reporting to the Colorado Division of Housing. This conversation led to the development of this supplement. Providing most of the backup documentation for this funding source, it should also have many uses for other agencies such as a better method of monitoring loans for your Executive Director or Board of Directors or maybe your funding sources require this type of information too. It’s worth checking out to see if it will be timesaver for you too!
Loan Servicing Worksheets will create two different Excel spreadsheets. To prepare either worksheet, you will first select your Loan Fund(s) and then select the From and To Dates. The From and To Dates selected will be compared with the Activity Dates for each loan from the selected funding source(s). Worksheet #1 includes all Repayments received within the specified timeframe and will list the Loan #, Loan Name, Activity Date, Repayment Amount, and Totals for number of clients and Repayment Amounts. Worksheet #2 will list all loans that are not included in the first worksheet that have Conversations for the selected timeframe. This worksheet will list Loan #, Loan Name, Conversation Date, Conversation and if the loan has a $0 balance that will be noted and will total the number of clients on the report. New Accounting .net Software is Up and Running!
During the last couple of months, we have installed our new accounting .net software version with several clients. We are excited to see this new chapter beginning! It is an exciting time for us at GMS, as well as users of our software. We are going to be increasing our conversions after W-2 season has settled a bit, and need to get you on the list. February will be full steam ahead!
If your agency would like a specific month to complete the conversion process, please let us know. At the chosen time of conversion, you will be sent an email with instructions for the upgrade process. That email will have detailed instructions on the procedure for installing the new .net version of software and updating your database to be compatible with the new version. There is no charge for this software upgrade! All regional trainings and webinars will now be using the new software so if you would like a view of the new platform keep that in mind. We look forward to working with all of you as we take this leap forward! GMS offers a wide variety of off-site services for our clients. Two of the more popular ones are year-end assistance and training on a specific feature or procedure in GMS. However, there are also other areas in which we may be of assistance. As you know, bank reconciliations being done timely are critical in order to produce accurate financial reports. Other accounts on the Balance Sheet are not to be taken lightly either. Not having your Accounts Payable Analysis reconciled to your General Ledger or not knowing the detail behind any asset or liability account on your Balance Sheet can have a dramatic impact on your financial reports.
