Conference time for GMS is always an exciting time for our staff and this year promises to be one of the best. The GMS Summit later this month in Denver, CO is going to be one of the most memorable we’ve ever had. As I discussed last year during my opening remarks, one item that GMS takes seriously is our Corporate Social Responsibility. There is no group of people in existence that knows the importance of “giving back” more than you, the GMS client base. It is, by design of your organizations, what you do day in and day out. As I am sure you are aware, GMS has partnered with the Colorado chapter of Make a Wish and we will be granting the wish of a child during the Monday morning opening session “Waking With Wishes”.
In addition to an opening ceremony that you will never forget, come join us Sunday evening from 5:30 – 7:00 for our 1930’s Hollywood themed welcome reception which promises to be a fun time.

How Will GMS Operate During the Annual Summit?
Here are some things that you need to know about how GMS will operate during the Annual Summit June 22-26, 2015.
1. Service calls will be taken on Monday, June 22nd, 2015 through Friday, June 26th, 2015. Only one Service and Support Specialist will be taking service calls throughout the day as most staff will be involved in sessions or in the computer clinic. Because of this, we may not be able to meet the 2 hour deadline for return calls, so please be patient with us. Service hours will be 9:00 am to 6:45 pm EDT for Monday, June 22nd through Thursday, June 25th. On Friday, June 26th our hours will be reduced to 9:00 am to 2:00 pm EDT to allow staff to travel home. Please follow the normal practice of emailing service requests to email@example.com, leaving a service call request through the customer portal on our website or calling our service number (800) 933-3501 and leaving a voice mail message.
Note: During the conference all Service and Support Specialists will be in Denver, CO so they can participate in sessions and meet with clients. They will be checking voice mail regularly. Service and Support Specialists will respond to service calls during the times stated above.
2. Our Service Chat Room will not be monitored from Monday, June 22nd through Friday, June 26th.

Need to Track Another Unpaid Leave Type?
As you know, the GMS Accounting Software has two built in pay codes that designate types of unpaid leave. They are LP for Leave Without Pay and ML for Military Leave. We have had questions from clients concerning the need to have more pay codes available to track other types of leave that are unpaid. Some examples of these are Maternity Leave and Family Medical Emergency Leave.
Other than the few leave types that are part of the basic system, you have control over how many and what kind of leave types you need to create. For this example, let’s use MT for Maternity Leave. (ML might seem like a more logical choice but remember that it is already set up in the system for Military Leave.) Your first step would be to go to General Ledger – GL Master Files – Program Elements and create the element number and description for Maternity Leave. Next, go to Pay Code Setup under Payroll – Setup and enter the pay code MT and designate the appropriate element.
Once that is done, the fact that you want it to be an unpaid leave type is handled during timesheet data entry. When entering a timesheet (and this can be done for a new timesheet or editing an existing timesheet), click on the Adjust button and begin your data entry as normal. When you get to Code enter MT and then the number of hours of Maternity Leave you wish to track. The system will then ask you to enter the $ amount for this element. In this field you enter “0”. Then click on Save Adjustment. You have now recorded a certain number of hours to an employee for which they did not get paid!
Finally, should you wish to track an available balance of hours for this leave type (Maternity Leave), you would add the MT pay code and description to the Lv Bal Type form under Payroll – Setup. Next, go into the employee file and add that leave type and current balance on the Personal Data tab.
Bring Your Laptop to Conference!
We encourage anyone who wants to bring a lap-top to conference to follow along in every session they attend. Because of seating or lighting, some attendees find it hard to see the screen in the front of the room. This will enable you to follow along on your own laptop to easily see the features that are being pointed out.
We will be putting our conference databases and all handouts on our website for you to download to your laptop. The databases will be compatible with the latest revisions, so make sure the programs that are installed on your laptop are also the latest version prior to conference. All conference registrants will be emailed instructions on June 10 regarding how to obtain the latest GMS Accounting and Revolving Loan Software and their corresponding demo databases. If you have not received the email with these instructions by June 11, please send an email, including your client #, name, and correct email address to firstname.lastname@example.org so that we may resend them to you.
Session Handouts During the GMS Summit
In an effort to create a more environmentally friendly conference and to do our part in protecting the planet, GMS will NO LONGER PRINT handouts for every session. All handouts can be found as a download on our website in the client portal area. We encourage our attendees to download the handouts to their laptops to follow along in sessions. Handouts will be made available by Wednesday, June 10, 2015 and all registered attendees will be sent an email notification with instructions. All handouts are being made available prior to the Summit as a courtesy to our attendees who wish to download and/or print prior to traveling to Denver.
A wish tree will be on display for the duration of our annual summit. The wish tree is a place for all of our clients to show their support and to honor a loved one or a friend. In exchange for your donation of $1 or more, we will proudly include the name of your chosen friend or loved one on a star to hang from the tree. All proceeds will be given directly to the Colorado Chapter of Make-A-Wish. Donations can be made online. You don't have to attend the GMS Summit to participate.
