Navigation Tips During Data Entry When Using Dates
Whenever the calendar is present in a date field, you also have the option to type the date. To navigate in the date field after entering the month, use either the period (.), slash (/), or your mouse to advance to the date field. Repeat to advance to the year field. For example, to enter the date of November 2, 2018, enter 11 period 2 period 18 (11.2.18) enter. The date will then be populated with 11/02/2018. Where “period” is listed you may substitute the slash (11/2/18) or a mouse click. You may also enter 02 for the date and 2018 for the year if you are more comfortable entering the complete date.
Sorting Records and Using Filters in .net Accounting
Our .net accounting software has several new features to help you find information that you may not be aware of. The discussion below will focus on Vendor Entry; however, these same tips may be applied to any screen with lists or grids.
On the left side of the screen is where you will find the listing of all your vendors.

This listing includes the columns of Vendor Code, Vendor Name, Alpha Code, Telephone, Acct, Fed ID, and Active. You may click on any column heading and drag it to either the left or right if you wish to view the columns in a different order. Also, by clicking once on any column header, that column will sort in Ascending order. Click twice for Descending order.

Click on the icon to open the filter for that column.
From the drop down, select (Custom). Various filter options are available such as Equals, Does not equal, Is greater than, Is less than or equal to, Is like, etc.
An Export to Excel icon is available at the bottom of these columns to allow you to export and further refine your information.
These same tips can be utilized in the Payment History section of the Vendor Entry screen.
Tax Form Season is Upon Us
For those of you who have ordered your 2018 tax forms from GMS, we thank you for your order and encourage you to check your order confirmations to ensure that all of the proper forms and services ordered from GMS are correct. The appropriate W2, 1099, 1095B, 1095C, and 1098 procedures will be included in the December 2018 GMS software revisions. Remember, do not run the Edit/Prepare W2 step or the Save/Prepare 1099 step until the December 2018 accounting revisions have been installed.
For clients who have requested that GMS print their forms, the normal turn-around time is one week once we have received your database. This service will begin in January, 2019. Once you have completed Editing/Preparing W2's and verified that your W2 Proof listing is correct, your database is to be zipped up with a password and an email sent to service@gmsactg.com that your database is ready to upload. We will then send you an email with instructions for submitting your database. Note: It is extremely important that when you are filling out the GMS transmittal form that gets sent to GMS, you are accurate in identifying the password used (if any) to zip the database. If an incorrect or misspelled password is sent to us, it can delay the processing and increase the time in which the completed forms will be sent to your office.
If you have requested GMS to print 1099 or 1098 forms, you must use Supplement #330 Complete 1099's or Supplement #804 RLSS 1098's to prepare the file you send to GMS. Most orders will be shipped via UPS unless otherwise specified, and the shipping fee will be applied to the total of your tax form order. UPS delivery usually ranges from 3-5 days.
The Help Manual also includes all instructions for those clients who have requested that GMS prepare the file for electronic filing to the IRS. The prepared file will be emailed to the contact person you have specified.
If you haven’t placed your order yet, it is still not too late to order your tax forms. GMS will accept all tax form orders up until December 1, 2018. Note: Additional charges may be incurred for orders received after December 1st, based on availability.

Software Revisions
When we revise our software, we send an email notice that the current revision to the GMS Accounting software and/or Revolving Loan Servicing software are available on our website. It is important that everyone download and install these revisions in a timely manner, but this is especially important in December when the updates for W2, 1095B, 1095C, 1099 and 1098 forms are included. Also included in the revision will be an updated Help Manual containing instructions for these forms. If we do not receive the 2018 tax changes in time to include them in the December revision, a separate email will be sent notifying you when these changes become available
Electronic W2 Filing Requirements to States
Make sure you know what your state requirements are for filing electronic W2 forms. Most states have a requirement that W2s must be reported electronically when you have a certain number of employees to report. In some states, this number is being reduced each year. Be sure to check your current filing requirements and find out if your state accepts the SSA format or requires a special format. All requests for adding special state file formats must be received in our office prior to November 30, 2018. In addition to the states that have electronic filing requirements, for most states the electronic filing method is the recommended procedure. Please make sure you are familiar with your state(s) filing procedures as well as any requirements for local taxing jurisdictions.
Supplement #400 W2 Electronic File Reporting, can help you meet your electronic filing needs. In addition to the file that is transmitted to the Social Security Administration, the supplement creates the electronic file for various state submissions that won’t accept the same format as the SSA.

The River to Sea Transportation Planning Organization (R2CTPO) coordinates transportation planning and the establishment of funding priorities for local governments, with input from member governments, planning organizations, the business community, citizens and community service agencies. The organization prides itself in offering a friendly and professional working environment, with collaborative decision-making, flexibility and autonomy. The TPO employs eight staff members with financial support primarily derived from federal highway and transit planning grants. We offer a competitive salary and benefits package, including employer provided health insurance and retirement plans.
The Chief Financial Officer (CFO) serves in a key role for the TPO providing support and recommendations in all aspects of financial planning, management and budgeting for the organization. The CFO works independently and with minimal direction to prepare reports that summarize the financial activities and position of the organization. This position works closely with the Executive Director and potential candidates are expected to conduct themselves with the highest level of integrity and professionalism. Applicants must be adept at building strong professional relationships, have a keen eye for detail and the ability to manage multiple projects and meet required deadlines.
The R2CTPO office is located in beautiful Daytona Beach, Florida within a short drive to world famous attractions, including the Daytona International Speedway, Kennedy Space Center and Central Florida theme parks. We serve a population of just over 600,000 people residing in Volusia County and the eastern portion of Flagler County. Our residents represent various ethnicities, abilities and age groups and our communities include rural towns as well as growing coastal cities.
Minimum qualifications for this position include a Bachelor’s degree in Business Administration, Finance, Accounting or a related field and at least five-years of experience working government accounting, budgeting, and/or financial management. Preferred candidates will have experience with an MPO/TPO, transit agency or other federally funded public sector organization. An equivalent combination of education and/or experience may be substituted for the minimum qualifications.
