As of September 25, 2018, all GMS Accounting clients should have received emails with links to update their software to the .net version. Hopefully everyone has installed the new .Net software and is up and running!
As you know we have stated that our goal was to have all accounting clients converted to .NET by then end of September 2018. We at GMS have discussed at great length all of the upcoming revisions that will be necessary for the processing of W2s, 1099s, and new tax changes for 941 reports and payroll processing. With the amount of changes required we cannot continue to maintain two different systems at the same time; therefore, we will be making revisions to the .Net software only from now on.
It is imperative that all clients, regardless of whether you are processing payroll in the GMS software, are converted and using the .Net version of accounting software well before the end of the calendar year. Payroll and W2 processing for 2018 can only be completed using the .Net Software.
If you have not received the emails with links to download the .net version of software you need to contact us ASAP so we can make sure you are using our current accounting software.

2018 RLSS Summit
The 2018 RLSS Summit was held on September 20-21, 2018 in San Antonio, TX. Hosted at a hotel along the famous Riverwalk, the Summit sold out early.
The Summit kicked off with a Wednesday evening reception. Robin Berseth, GMS Events and Technology Director, collected infant and toddler supplies that were donated at the conclusion of the Summit to The Children’s Shelter of San Antonio as part of GMS’s “Give Back to the Community” program.
Thursday morning started with Donald Cassady, President/CEO of GMS, welcoming attendees and announcing the 2019 Summit will be held in May, 2019 in Myrtle Beach, SC. He concluded by drawing winners for two prizes donated by Summit sponsor National Print + Promo. Pat Resiner from South Delta PDD in Greenville, MS selected the blanket and Sandra Machen from Lee-Russel Council of Governments in Opelika, AL won the backpack.
Summit attendees, with a wide range of loan portfolios and RLSS software experience, learned how to better utilize the software and its features from RLSS Director/Service and Support Specialist Marilee Floener. Time was allotted for hands-on data entry into a demo database to reinforce what had been learned.
Friday began with Elisabeth Johnson from Credit Builder’s Alliance (CBA) making a short presentation of the credit reporting services they offer. CBA donated a Google Home Mini which was won by Ruth Matagi-Fa’atili from the Development Bank of American Samoa in Pago Pago, American Samoa.
Friday concluded with the final software training, completion of hands-on practice, and answers to any remaining questions attendees had.
We at GMS wish all RLSS clients could attend the Summits to update their skills, brainstorm with other attendees regarding software additions/improvements and to network with others in similar positions to get new ideas to take back home. We hope you will consider this and join us in 2019!

Service Policy during GMS Staff Meeting
The GMS annual staff meeting will be held on October 9 -11, 2018. In addition to the three meeting days, Monday, October 8 and Friday, October 12 will be travel days for the GMS staff. Accordingly, our service hours for these days will be as follows.
On Monday, October 8, service calls will be responded to from 9am – 1pm ET. Tuesday thru Thursday, October 9-11, we will check for service calls every two hours from 9am – 5pm ET. We will be returning ONLY emergency calls this week. No service calls will be returned on Friday, October 12, due to staff will be traveling on this day.
There will be no service staff monitoring the Service Chat room on October 8-12, 2018.
For emergency calls, we strongly encourage you to send an email, or submit a request for service via our website. If calls can be returned the following week, please help us prioritize our responses and specify so when placing your service call.

The Boss Goes Pink
In honor of October being Breast Cancer Awareness month, Donald Cassady, President/CEO of GMS, Inc. has taken an extra step in support of this cause. “There are advances being made in treatments and cures on a regular basis, but we still have a long way to go. My mom who is now a breast cancer survivor and when something like that happens, there is immediately a whole different perspective. The pink in my hair is just one way for me to show my gratitude to those who were responsible for her outcome, and show support to other families who were not so fortunate.”

Getting Ready for W2s and Other Year End Tax Forms
Although three months remain before you need to prepare W2s, here are some things you can do now to get ready.
- Make sure that the year-to-date payroll information is correct. Don’t wait until the last payroll of the year is completed to verify this information. A YTD Payroll Control Sheet is an excellent tool to use to verify these amounts, if you maintain one. A sample YTD Payroll Control Sheet can be found on the GMS Website under Client Portal/Downloads & Updates-Sample Data Entry Forms. The sample forms are in an Excel workbook. Look for the YTD PR Ctrl Tab.
- Understand your special W2 requirements particularly for issues such as pension, deferred compensation, dependent care and group life insurance over $50,000. You may need to review the IRS requirements or consult your CPA.
- Be familiar with any appropriate federal, state and local electronic reporting requirements that must be met.
- Review the following links so that you are prepared to report health insurance pursuant to the Affordable Care Act (ACA). Federal forms 1095B and 1095C will need to be filed with the IRS by February 28, 2019 if filing paper forms or by April 1, 2019 if filing electronically. This will be for calendar year 2018 information. We have created tables under Payroll, Annual, 1094/1095 for collecting the information for these forms. These tables do require setups on your part.

- Order sufficient W2 and Affordable Care Act (ACA) Reporting forms, and should you need or desire to, you can arrange for W2 and/or ACA printing or electronic file preparation with GMS.

On September 18, the FBI issued a warning regarding a phishing scam targeting the online payroll accounts of employees in various industries. San Antonio RLSS Summit Attendees – The deadline for ordering supplements and receiving the discount is October 31, 2018.
