Pricing Updates Effective July 1, 2026
Effective July 1, 2026, GMS will introduce updated pricing for select products and support services. These changes result from a thorough evaluation of our offerings to ensure ongoing reliability and value.
Clients will notice adjustments to user licenses, Full‑Service Software Support, and tiered supplement pricing. Certain items will see price increases, while others will be reduced.

GMS Live Chat Is Now Part of Full-Service Software Support
Effective July 1, 2026, GMS Live Chat will become an exclusive feature of Full-Service Software Support. Clients with Full-Service Software Support will continue to enjoy live chat as a complimentary benefit, with no changes or additional costs.
Clients with Limited-Service Software Support will have access to live chat on a Pay-As-You-Go basis, billed at the current prevailing rate per conversation.

As always, live chat is designed for quick, straightforward inquiries. Complex issues—such as cost allocation, bank reconciliations, or year-end closing—should be addressed via scheduled support or training sessions to ensure you receive comprehensive assistance.

GMS Accounting Software – The More You Know!
Q: Are Salaries Reported in the General Ledger (GL)?
A: YES!
In Grants Management Systems (GMS) Accounting Software, timesheet charges are posted to the General Ledger (GL). However, they are recorded through automated Labor Distribution entries rather than as individual timesheet or hourly line-item transactions.
Because GMS is purpose-built for grant and contract accounting, the Timesheet and Labor Distribution modules are designed to directly link labor costs to financial reporting. As employee time is distributed to activities, grants, contracts, programs, or projects, the associated labor costs are summarized and automatically posted to the appropriate General Ledger accounts as a final step in the payroll process. This provides a complete audit trail from the original timesheet detail to the financial statements while maintaining efficient GL processing.

GMS RLSS – Last Good Activity
When advising our clients on performing a reversal in RLSS, we instruct them to use the last good activity date. However, there is sometimes confusion about what that means in practice. If you aren’t sure which date to use, the following brief guide can help.
First, it’s helpful to understand why the date is so important. RLSS calculates interest using the number of days elapsed between the last activity date and the current activity date. When those dates get out of order, or you input the wrong date for the reversal, that will change the interest calculation. It could result in you over- or under-charging your borrower.
In the following example, Jane Smith made payments in April, May, and June on her loan. After the June payment was received and posted, the lender received notice of NSF and now needs to reverse that payment. In this example, what is the last good activity date?
It may help to emphasize the word “good”. The last activity that was good – in other words, the last activity posted without any issues or need to reverse. We know that the June payment wasn’t good because it was returned by the bank, so you wouldn’t use the June date. But the May payment was fine. In this case, the May payment is your last “good” payment or activity. So, you would use the same dates you used on your May payment – Activity Date, New Paid Thru date, and New Due date. This will ensure that your interest is calculated from the correct date when you enter the next activity.

New Accounting Software Revision Available
Accounting Revision 2.4.110.204 was released on June 25, 2026 and is now available for installation.
We encourage all clients to update to the latest revision to ensure they have the most current enhancements, corrections, and system improvements.
If your organization has not yet completed the update, please contact your GMS Administrator to schedule the installation.
